What we collect when you book, who sees it, and how to get it changed or deleted.
Who is responsible
Guestlist Shanghai is operated from the United Kingdom and is responsible for the personal information collected on this site. Questions or requests: hello@guestlistshanghai.com.
What we collect
- Tickets: your name, email and the guest names on the booking. Payment is handled by Stripe, which receives your card details directly.
- WeChat payments and table requests: your name, WeChat ID or phone number, party size and the night.
- Free-entry lists: the name and details you give when signing up.
- Affiliates and organisers: name, contact details, login, and payout details needed to pay you.
- Technical: basic request logs from our host, and two small cookies:
gl_ref(which affiliate link you came from, kept 90 days) andgl_cur(your currency choice, kept a year). Logged-in affiliates and organisers also get a login cookie. We don't use advertising trackers.
Why we use it
To sell and issue your tickets, put your name on the guest list, handle cancellations and refunds, pass table requests to the venue, credit and pay affiliates and organisers, prevent fraud, and meet our legal and tax obligations. Our legal bases are performing our contract with you, our legitimate interest in running and securing the service, and legal obligations.
Where it is stored
Our providers store data on servers in several countries, including in Asia, Europe and the United States. Where information about people in mainland China leaves China, or information about people in the UK leaves the UK, we rely on our providers' standard protections for international transfers. By booking events in Shanghai through a UK-run site, you understand your booking details are handled outside mainland China.
How we keep it safe
The site is served only over HTTPS. Card details go straight to Stripe and never touch our servers. Booking data sits in our host's managed database, reachable only by the site itself and by logged-in staff, organisers and affiliates, each seeing only what they need: organisers see their own guest list, affiliates see their own bookings. Passwords are stored hashed, never in plain text.
How long we keep it
Booking records are kept for 6 years for tax and accounting. Table requests and free-list sign-ups are kept for 12 months. Affiliate and organiser accounts are kept while active and for 6 years after the last payment.
Your rights
You can ask to see, correct or delete your information, or object to how we use it, by emailing us. Some records we have to keep for tax law. If you're in the UK you can complain to the Information Commissioner's Office (ico.org.uk); if you're in mainland China, you have rights under the Personal Information Protection Law, and you can contact us to exercise them.
Age
The site and events are for people aged 18 and over. We don't knowingly collect information from anyone younger.
